E-Gurukool is structured into groups which correlate with the school’s organizational profile. Each group has its own user rights and can access only the relevant information pertaining to that group. For example, when a mathematics teacher logs in, he or she can view only the information of students taught by him/her. Furthermore, the teacher can edit only mathematics marks and not other subjects.
 
The different user login groups are as follows:
 
Super-admin: Can view and access all information, including messages between other groups

Administration: Can add/edit most information

Teaching staff: Can access and edit information regarding their respective classes/students.

Non-teaching staff: Can access/edit information relevant to their particular jobs, such as book inventory management for a librarian.

Parents: Can view all relevant information. No editing rights.

Students: Can view all relevant information. No editing rights.

 
   
Super-admin / Administration:  
Configuration Module: The first module is used to configure the school structure. You can add/modify the description of a campus, class, section etc. It provides the liberty to change the main and allied subjects for any section in any campus. You can then configure these subjects to a particular section.
Academic Module: It is used to create/modify the academic structure of a particular campus. You can also create timetables for a particular section of a campus and even add/modify the exam date or exam name for a class. Individual marks in each subject are assigned to all applicable students.  
Staff Module: Staff details such as qualification, experience and the field of expertise can be entered in this module. It also allows for staff search based on employee ID, employee type, name, gender, department, designation, etc. Teaching rosters can also be set up in this module.  
Student Module: This module is used to add new/existing students. Allied subjects can be added to a particular student’s list. In this module, an excellent search option allows one to search for a student by ID, name, campus, etc. The program has the ability to store and track a student’s daily and period-wise attendance.  
Fee Module: This module maintains student's fee details and also tracks payment and balance information. The program has a provision which allows the user to automatically track outstanding dues and penalties.  
Hostel Module: The hostel module can efficiently and cost-effectively automate an institute’s boarding structure including hostel/room allotment, student/room tracking etc. It helps in integrating all hostels and in maintaining information centrally.  
Transport Module:  This unique feature caters to the institute’s transportation needs by automating and centralizing all pertinent information. It keeps track of vehicular information, allotment, timings, etc.  
SMS Module: This module is used to send SMS alerts. SMS alerts can be sent to parents with information pertaining to student's results, fee due-dates, meetings, events, etc.  
Library Module: This is a full feature program that efficiently and accurately automates school libraries. From circulation and bibliographic input to renewals and loss history, this application practically does every possible job for you.  
Message Board Module: It is a premier feature of E-Gurukool which can be used to send or receive messages between different communities. Information can be sent to any person without using any external mailing system. Thus this module provides faster interaction between different communities such as teachers, parents, students, etc.
IVRS Module: IVRS is an interactive voice information and request system designed to take care of the most common questions asked by parents regarding their children like attendance, marks and other related information.  
Cafeteria Module: The objective of the module is to automate all cafeteria related activities right from purchases to maintenance. The system maintains a detailed account of all provisions bought and food served at the cafeteria. In addition to this, it also maintains the daily expenses incurred by the staff. The system also provides an interface for payroll deductions. Other features include:
  • List of items served with prices.
  • Daily menu preparations (break fast/lunch/dinner/snacks).
  • Daily transactions (break fast/lunch/dinner/snacks).
  • Availability of information on the intranet for reports and inquires.
  • Purchases and issues, month-end payroll interface.

Students Module: This module will help the staff to

Attendance Module: This module allows the staff to take students attendance directly online, which would help in avoiding unnecessary paper work and ensures the availability of accurate information when needed. Also, through this module the staff can also view their self-attendance for a month or any other specific period.  
Timetable:This module will help the staff to view their timetable for a particular day and also a complete timetable report for the entire academic year. Through this module, staff can also view the entire student’s timetable as well.  
Academics:The academics module is used by the staff to view examination timetable and student marks. The additional features in this module such as the report and consolidated report link will help Staff members can also view the complete marks reports of all the students and a consolidated report, which would enable them to compare student performance across the class or across the academic year.  
Message Board:This module is used to send and receive messages to and from different communities by the staff. For example, staff members can use it to instantly convey any specific information pertaining to a student to the student or his/her parents.  
Payroll:This module gives the staff an opportunity to view their pay at any given point of time and also provides them an additional advantage of instantly going back and checking their previous pay slips.  
General:The basic feature of this module is to allow staff members to get upfront information about all the activities and events that are scheduled in their academic institution.

Parents:  
Attendance:This module allows parents to check their child’s attendance day wise and also over a specific period of time.
Timetable:This module will allow parents to check their child’s timetable on a daily basis and also for the entire academic year.  
Academics:This module will allow the parents to follow and keep track of the child’s daily activities in the school. Some of the ways in which the module helps parents assess their child are as follows:
  • Viewing assignments
  • Viewing examinations
  • Viewing marks
  • Tracking their academic performance through consolidated marks report

Discipline:Most of the times the parents are not aware of the disciplinary actions that are taken by the school. This particular module will help parents to keep track of disciplinary actions taken against their child, if any.

Message Board:Parents can use this module to send and receive messages across different communities. For example, parents can use it to instantly send a message to their child’s biology teacher regarding low exam performance.
